Introduction to the Credentials File Service

Notice: Alumni who have a credentials file are advised that the Career Development Center holds files for up to 10 years from date of last use. Files which have not been used since May 1998 will be destroyed unless a written request to retain them is received by May 31 , 2008.

What is it?
A credentials file is a place to keep specific documents used to support application for employment, internships and/or graduate/professional school. The documents accepted into this file are: a resume and/or vitae, course list, transcript(s), and letters of recommendation. Other professional certificates and documents that will be accepted into this file are: NTE or Praxis scores and teaching certification.

Items are photocopied by CDC staff and mailed to prospective employers or graduate schools at either your or their request, depending on the authorization option you select when opening the file. Original documents always remain in the file.

Items that might be sent directly by you to employers or graduate schools are: writing samples, evaluations, cover letters, etc. These items are not accepted into the credentials file.

What does it do?
A credentials file helps you to efficiently manage the application process. While starting a file is not mandatory, there are several advantages in doing so. Throughout a job search or graduate school application process, you will repeatedly be asked to present materials such as those noted above for inclusion in the file. The credentials file eliminates the burden of asking individuals (i.e. professors, former employers, supervisors) to prepare multiple letters of recommendation, while preserving the confidential nature of these letters. Recommenders are able to prepare and send one letter to the CDC that can then be utilized many times. In addition, the documents in the file are maintained in good condition. High quality copies are sent to prospective employers or graduate schools, along with an official credentials cover document.

Who may open a file?
Any matriculated student who expects to complete a degree from Binghamton University or a graduate of Binghamton University may open a file.

When should I open a file? :
Students and alumni are encouraged to open a credentials file 3-6 months in advance of applying for positions or for advanced study. This will allow sufficient time to gather and forward materials prior to application deadlines.

How long will CDC retain a file?
Ten years from date of last use. The CDC will keep the files active if we receive a written request prior to May of the removal year (i.e. if last date of use was 2003, files will be destroyed in May of 2013).

Files with no contents will be discarded after one year.
